​Seeking an experienced Secretary/Administrator to take on the role of Board Services Coordinator for well-established business in the St Austell area.

 

The post-holder will support the Executive Group, Boards and Committees in the processing of all regulatory and related matters for any of the companies within the business. Be in regular contact with Executive Group, Board and Committee members and colleagues. Liaise with external stakeholders and tenants communicating with the Boards, Committees and Executive Group.

 

OVERALL PURPOSE AND RESPONSIBILITIES:

 

  • To ensure that all Board/Committee Meetings, Annual General Meetings (AGMs), across the Group are organised and serviced and associated paperwork produced and distributed to agreed timescales.

  • To be responsible for the taking and production of all minutes for Board, Committee and Executive Group Meetings

  • To deal with all matters in support of the Executive Group, Board and Committee Chairs, as requested, in the furtherance of their duties

  • To be part of the Executive Services Team that will provide services to the Executive Group and the Boards and Committees, which will include covering for each team role, as required

 

PERSON SPEC:

 

  • Educated to A Level Grade A-C or equivalent Level 3 qualification

  • European Computer Driving License or equivalent

  • Experience in a secretarial or administrative role

  • Experience of minute taking and of organising senior meetings

  • Experience in dealing with customers' enquiries and administering effective filing systems

  • Experience and working knowledge of MS Office software packages and use of Outlook and MS 365

  • Accurate and concise minute taking with efficient and timely production

  • Ability to create and format presentations

  • Ability to maintain high degree of discretion and confidentiality

  • Demonstrates a pro-active understanding of others’ agendas and newly presented information

  • The skills to be a self-starter and work with limited supervision and direction

  • Excellent typing/keyboard skills, ideally 50 wpm

  • Manages and prioritises time and tasks effectively, identifying steps needed to accomplish tasks

  • Strong team working at a corporate and department level

  • Excellent administrative and numeracy skills

  • Good communication skills to include letter and report writing/formatting

  • Working respectfully with senior management – offering suggestions for improvement and respecting final decisions, supporting their implementation.

 

This role is being offered on a full-time permanent basis of 30 hours per week to be worked flexibly.
